Bookings, cancellations and refunds

  • All events at the track are organised and run by club volunteers. The handling of bookings, cancellations and refunds are performed on a best efforts basis.
  • You recognise that the club incurs costs for the running of events, including track hire, floodlights and the handling of electronic payments and refunds.
  • Training sessions are weather dependent. You accept that sessions may be cancelled at short notice if conditions are judged to be unsuitable or unsafe. You appreciate that judging the weather is not an exact science.
  • If we need to cancel a session the club will endeavour to notify as soon as possible on Facebook and Twitter (Tweets also appear on the Home page). We aim to send notifications at least one hour before the session commences.
  • If a session is cancelled prior to its start you will be notified directly by email and text message (if you have selected to receive them at checkout) and receive a refund.
  • The Consumer Contracts Regulations apply to your right to cancel your booking.
  • If you need to cancel your booking you will endeavour to let the club know as soon as possible before the event. Bookings may also be cancelled from the My Account page before the event.
  • Refunds will be given in all reasonable circumstances. The booking system doesn’t automatically issue refunds but we aim to issue them manually for all advance cancellations. To request a refund contact the club at the bookings email address below. Please contact us if you haven’t received an expected refund.
  • When contacting the club, please quote your Order number and/or Booking number. The email address for bookings is webadmin@welwynwheelers.org.uk
